Alternative to desktop software
From software installed on a PC to cloud management software
If your data lives on an office computer and your operators work by voice or on paper, here is what changes with Toitrack. An honest comparison, including when you should stay where you are.
When it makes sense to switch
Three signs that installed software is no longer enough
It is not about fashion: what counts is how many people work on the same data and how often the rules change.
More people on the same data
Office, accounting and field operators work on the same orders, each with the permissions of their role, without passing files from one computer to another.
Field operators with a smartphone
Operators open their route on the phone, fill in the checklist with photos and, where your company requires it, collect the customer's signature.
Invoices and waste rules that keep changing
E-invoicing and the waste register follow rules that get updated. With an online service the app updates itself in the browser: there is nothing to reinstall on the office computers.
The comparison
Installed software and Toitrack, point by point
Eight criteria that usually decide the choice. For installed software we describe the category in general and tell you what to ask your vendor.
| Criterion | Software installed on a PC | Toitrack |
|---|---|---|
| Data and backups | The database sits on a computer or a server owned by the company: protection, backups and restores are up to whoever runs it. Ask where the copies are and whether restores are tested. | Online service: each company works on its own dedicated database schema. Servers, databases and backups are in European data centers, with encrypted backups and periodic restore tests. |
| Access from several desks and from a phone | It is used where it is installed; from elsewhere you need remote access or a dedicated app. Ask what is offered and on what terms. | From the browser, including on a phone; the app can be added to the Home screen. Using it in the office requires an internet connection. |
| Field operators | It depends on the product: ask whether there is an app for operators and how it talks to the software. | Field app included in the plan: the day's route, checklist with photos and outcome, on-screen customer signature and PDF report, according to your company's settings. |
| Updates | They have to be installed, and changes in the law depend on whoever maintains the software and on the contract. Ask in writing how they are followed. | The web app updates itself automatically: nothing to install on the office computers. |
| E-invoicing and SdI | It depends on the module and the sending channel the software provides. Ask how sending works and what happens when SdI rejects an invoice. | From order to invoice. Toitrack generates the FatturaPA XML with a check for missing data and sends the invoice to SdI from the app, with status and receipts on the invoice. Supplier invoices arrive in Received invoices; the XML can still be downloaded for another channel. |
| Waste and RENTRI | Ask whether the software keeps the loading and unloading register in digital form and how it handles data transmission to RENTRI. | The Waste module keeps the chronological loading and unloading register linked to your routes, with EER codes and a calendar of compliance deadlines. It needs the module enabled; the register page also requires an active RENTRI connection. |
| How you leave | Ask in which format data can be exported and what happens when the contract ends. | Before the subscription ends you export invoices and registers from the app's sections. After the free trial there is a 3-day grace period, then the account turns read-only: you can view and export, but not add. |
| Costs | License or fee, plus hardware, maintenance and backups at your own expense. Compare the total over several years, not the first month. | Subscription, no server to run. Pricing on request. |
The left column describes the category in general, not any particular product. Toitrack features have conditions (modules, permissions, plan): they are stated in the rows, and you can check them on your own cases during the free trial.
Honesty first
When Toitrack is not for you
If you recognize yourself in one of these cases, switching will not pay off.
You work from a single desk
If one person enters the data, no operator records work from the field and your current software is enough, switching gives you no advantage.
Your data has to stay in-house
Toitrack is an online service: there is no version to install on your own server. If a rule at your company or your customers requires data to stay in-house, it is not for you.
The connection is unreliable where you work
Toitrack runs in the browser and using it in the office requires the internet. If the network is a problem, try it in your real conditions before deciding.
You depend on custom development
Toitrack is a single service for all companies, configured through the settings it provides. If your current software has customizations built just for you, check during the free trial that the available settings cover your case.
Data migration
What you bring with you and what you do not
We tell you exactly what can be imported from a file and what is entered in the app.
Customers: import from an .xlsx file
If your software exports customers to a spreadsheet, adapt it to Toitrack's template and upload it in Settings, Data section. An .xlsx file of up to 1 MB and 500 rows, with a row-by-row preview: nothing is saved until you confirm. It requires the "Manage tenant users" permission.
Assets: created in the app
There is no file import for toilets, skips, tanks and the other assets. You create them from the Assets list, several at a time by entering the quantity, within your plan's asset limit.
Past orders, invoices and registers
They have no file import: they stay in your previous software, which is worth archiving with a full export. For retention obligations on documents already issued, ask your advisor.
Try it with your own data
The free trial lasts 14 days: import your customers, create a few assets and follow an order from route to invoice, before you switch your previous software off.
For an orderly switch, keep your current software running until you have closed the open orders.
