Alternative to generic software

Generic software, or software built around rental and routes?

Generic management software does a lot and adapts to many sectors. Here is what changes with software built for rental assets, service routes and waste, and when the generic option remains the right one.

When it makes sense to switch

Three signs you are bending the software to fit

Generic software is not wrong: it becomes wrong when your work lives outside it.

Spreadsheets next to the software

Custom fields, helper tables and spreadsheets to know which assets are free are a sign that the data model is not yours.

Routes live elsewhere

If operators' routes are built on paper, in a sheet or in another program, the software sees the orders but not the working day.

Waste compliance stays outside

The loading and unloading register, EER codes and environmental deadlines need specific features: if today they sit in a separate file, that is a sign.

The comparison

Generic software and Toitrack, point by point

Eight criteria where the difference shows. On the left what to ask a generic product, on the right what Toitrack does and under which conditions.

Comparison between generic business or field service software and Toitrack
CriterionGeneric business or field service softwareToitrack
What it managesBuilt for many sectors: customers, orders and invoices are there, the rest is configured or added. Ask how much configuration your case needs.Built around rental assets (portable toilets, skips, tanks and more), orders, tasks and routes.
Asset availabilityAsk how the software prevents the same asset from going to two customers in the same period.Assigning an asset that is already booked in the same period, or still out in the field, is refused: the app shows the conflicting assets, the order that blocks them and a few free alternatives.
Recurring maintenanceIt depends on what the software provides: ask whether recurrences are calculated automatically. When you create an order you choose fixed weekdays and an interval of one to four weeks; the first maintenance starts from the order's start date and the next ones are listed. The option appears when the assets include a toilet.
Routes and operatorsAsk whether there is a planner with a lane per operator and whether it can optimize kilometers. You drag stops onto each operator's lane; "Distribute across lanes" suggests an assignment by area and capacity and "Optimize km" a new order, as the crow flies and without traffic. Planning permissions are required.
Field operator appAsk whether there is an app, and whether it handles checklists, photos, customer signature and a report.Field app included in the plan: the day's route, checklist with photos and outcome, customer signature and PDF report, according to your company's settings.
InvoicingAsk how it handles fees, advance payments and e-invoicing to SdI.From order to invoice: advance and balance invoices, a combined invoice across several orders of the same customer. It generates the FatturaPA XML with a check for missing data and sends the invoice to SdI from the app; the XML can still be downloaded for another channel.
Waste and RENTRIAsk whether there is a loading and unloading register and how it connects to RENTRI.The Waste module keeps the chronological loading and unloading register linked to your routes, with EER codes and a calendar of compliance deadlines. It needs the module enabled; the register page also requires an active RENTRI connection.
Flexibility and setupMore freedom to configure, which however takes time and, often, someone to do it.Less freedom: you configure settings, modules and permissions, but the model of orders, tasks and routes is the product's own.

The left column lists what to ask a generic product, not what a specific one lacks. Toitrack features have conditions (modules, permissions, plan): they are stated in the rows, and you can check them on your own cases during the free trial.

Honesty first

When Toitrack is not for you

If you recognize yourself in one of these cases, stay where you are or look elsewhere.

  • Your trade is a different one

Toitrack is built for those who manage rental assets and services with routes: portable toilet rental and servicing, skips, tanks, septic pumping. In other sectors you will not find dedicated modules.

  • You need full accounting

Toitrack issues invoices and exports their data as CSV or JSON for whoever keeps the books, but it is not accounting software. If you want a single program for everything, generic software may serve you better.

  • You need GPS on vehicles and assets

GPS for vehicles and assets is activated on request, with trackers from specialist partners: if you need it, say so when you write to us.

  • What you have already works

If your software covers your assets, your routes and your compliance without spreadsheets next to it, switching costs more than it returns.

Data migration

What you bring with you and what you do not

We tell you exactly what can be imported from a file and what is entered in the app.

Customers: import from an .xlsx file

Export your customers from your software to a spreadsheet, adapt it to Toitrack's template and upload it in Settings, Data section: up to 1 MB and 500 rows, with a row-by-row preview and nothing saved until you confirm. It requires the "Manage tenant users" permission.

Assets: created in the app

There is no file import for toilets, skips, tanks and the other assets. You create them from the Assets list, several at a time by entering the quantity, within your plan's asset limit.

Past orders, invoices and registers

They have no file import: they stay in your previous software, which is worth archiving with a full export. For retention obligations on documents already issued, ask your advisor.

Try it with your own data

The free trial lasts 14 days: import your customers, create a few assets and follow an order from route to invoice, while your current software stays on.

Running both systems in parallel for a while is the most prudent route: close the open orders in the old one and open the new ones in Toitrack.
